- The revalidation notification center is on the front page of the website. Even if some of the revalidation letters aren't coming through, which I've got companies across ten states and some of them don't get to me, this revalidation notification center does have everything listed in there with their revalidation dates?

That is a great point and we encourage all providers that aren't currently signed up for Provider Enrollment, Chain and Ownership System (PECOS) to go to our website, find the links about how to get set up for PECOS. Stress to your staff that you can see what we, as a contractor, are seeing when you are logged in to the PECOS system.

- My question relates to upcoming changes of ownership. What is the recommendation when a provider is put on the revalidation location, but CHOW is, or will be, completed on or around the revalidation due date? Both parties want to make sure that the Provider Transaction Access Number (PTAN) stays active and is transferrable to the buyer. What do we do in that case?

We have really worked closely with The Centers for Medicare and Medicaid Services (CMS) on CHOWs. What CMS is doing in this round (Cycle 2) is to revalidate the new owner. CMS instructs contractors to delay the issuance of the CHOW if we get ready to mail a letter and we find out that there is a CHOW in process. As a reminder to all providers that change ownership, any ownership changes, start transfer, anything direct/indirect, are required to be submitted within 30 days of the date that it occurs.
CGS can only delay the issuance of a revalidation letter if a CHOW application has been filed. If you receive a revalidation letter and know of an upcoming CHOW that will be filed before the revalidation due date, please contact CGS. Otherwise, the revalidation will need to be completed by the current owner of the agency.

- We have moved to a new location and have submitted an address change in January of this year, but we are still receiving mail from CGS at the wrong address. I just want to make sure that we do get the letter. If I don't receive the letter, what is my responsibility as a provider? How I take care of it?

You should have received a letter back from CGS. CMS Regional Offices (RO) offices and States require contractors to send them as approval recommended for address changes. We suggest that you review your letter again, or call customer service if you don't have it available and CGS can look it up. In those situations we can't approve your record until we get a tie-in notice from the CMS RO stating that it has been approved. We always list the contract numbers for the CMS RO in the state for you to follow up if things aren't coming through timely.

- The other question I have is regarding palliative care and that's Part B. We are in Colorado. Will we get a letter for that also for the revalidation due date?

You would receive that from whoever your Part B carrier is for Colorado. All Medicare providers will go through the revalidation process.

- I'm unsure if this falls in your area or not but we are finding that we already completed several of our revalidations via PECOS. We're finding on some of them the only recognized signature on the application is the authorized official on the e-signature. The delegated officials aren't necessarily showing up, even though they do sometimes. When they do not, we are not sure why that would happen.

A delegated official can sign a revalidation.

- The last time we did our revalidation we did it on paper and not on PECOS. If I get signed up to do this on PECOS can I go in and look at the format, see if it's different from the paper format in preparing? Ours is going to be due at the end of July. I did check the list last month so I do know my agency is coming up and I want to start working on it. Like the information from the last time that we submitted on paper it's not necessarily going to be transferred on the PECOS system. It's going to be brand new so I have to enter everything and there'll be no previous information on there.

Yes, you can submit with PECOS when you submitted previously by paper. When you say format it's more you're answering questions through the PECOS piece. You're answering the questions and adding the information, whereas with PECOS you are completing certain sections. Once you are set for PECOS you can definitely go ahead and start that. Actually when you work in PECOS you'll actually see what we as a contractor sees and you're really confirming information or changing what is different.

- I had a revalidation that I did in January of 2015. Then we had some changes in our organization so I went on the PECOS system to update our information. Apparently I did a revalidation instead of an update. It didn't seem like it was very clear to me which one I needed to do. I got a letter on Monday that said that my request is being closed and my application is being returned. So went in yesterday looking to see if I could update that online and it still shows that I'm in process and I wondered when that might be opened up so that I can go in and resubmit electronically.
I was on the phone yesterday with an operator and she told me to print it out in paper and to do my changes on paper. I just want to know what's best.-
I would call customer service and give them the information and it will be forwarded to Provider Enrollment. We can look into it to see if we might have forgotten to return the (LNT) in PECOS.

- I just wanted to make a comment. Regarding the last bullet on the handout that talks about the gap and the service, it is my understanding that it only applies to Part B providers and non-certified providers like groups and practitioners.

You are correct. The gap in coverage does not apply to Part A/HHH. The gap only applies to Part B non-certified providers.

- I have a comment regarding the new revalidation center that appears in PECOS, not the due date lookup tool. We found that in a lot of cases the tool is for that revalidation center isn't necessarily correct due in the revalidation date that is listed there. Some are stating it is due for revalidation, but it was saying 2012.

Contact customer service and let them know the revalidation tool is showing this, but the notification center is showing different. CGS definitely recommends the lookup tool as the primary source as well.
