Faxing Tips

In our increasing electronic environment, more and more inquiries and responses are being submitted by fax. To ensure your faxes are received and processed timely at CGS, please follow the tips provided below:

  • DO place a cover sheet on your fax.
  • DO include the number of pages being submitted on the cover sheet.
  • DO include the addressee (ADMC, Redeterminations, Reopenings, etc.) on the cover sheet, if known. If not, leave blank. Don't guess which department sent the request.
  • DO include all documents in one fax transmission.
  • DO consider mailing instead of faxing, when appropriate. Depending on the size of your document and the date that it is due to CGS, mailing may sometimes be the best route.
  • DO review documents that have been faxed 2 or more times previously. If the quality is already getting distorted, faxing them one more time may result in illegible broken lines. Only fax documents that are clearly legible.
  • DON'T fax documents with highlighting or shading on them. Highlighted or shaded text is usually illegible when faxed.
  • DON'T send some documentation now and the rest later on another fax. Once we receive the first fax, we will take action. We cannot hold documents and match them up later.
  • DON'T refax the same documents multiple times. CGS will act upon the first one received and subsequent transmissions will be considered as duplicates.
